AI Use Policy

Last Updated: 7 November 2026

1. Purpose and Scope

This AI Use Policy describes how Redwood Meridian LLC, doing business as My Legal Academy ("MLA," "we," "us" or "our"), uses artificial-intelligence tools in delivering its services and in handling information that law firms and other clients ("Clients") entrust to us. It applies to every MLA employee and contractor, and it forms part of our Terms of Service and Data Protection Addendum.

2. Approved Tools Only

MLA personnel use only the AI tools MLA has approved for business use. Client information is entered only into approved tools used through business, enterprise or API accounts, or paid accounts whose settings exclude submitted content from model training. Free accounts never receive Client information.

3. No Training on Client Data

Client information goes only to AI providers under terms or settings that exclude submitted content from model training, where the provider offers them. MLA does not use Client information to train any AI model that serves anyone other than that Client.

4. Minimum Necessary Information

Personnel give an AI tool only the information a task requires. Health information, financial account numbers, government identification numbers and similar sensitive data are not entered into an AI tool unless the Client has instructed us in writing and the tool is approved for that data.

5. People Stay Responsible

AI tools assist our work; they do not replace the judgment of the person responsible for it. Personnel check AI-assisted work for accuracy before relying on it or delivering it to a Client, and MLA remains responsible for the services it delivers.

6. No Legal Advice

MLA does not provide legal advice, and AI tools used by MLA are not used to give legal advice to Clients or to anyone who contacts a Client through our services.

7. Transparency

MLA identifies the AI providers that process Client information as subprocessors under our Data Protection Addendum, provides that list on request and gives Clients notice before adding a new one.

8. Security

AI tools are used under MLA's security procedures, including individual accounts, multi-factor authentication where available and access limited to the personnel who need it.

9. Training and Accountability

Personnel receive training on this Policy before they handle Client information and acknowledge it in writing. A breach of this Policy may lead to loss of access and disciplinary action, including termination of employment or engagement.

10. Changes and Contact

We review this Policy at least once a year and post any change on this page with a new Last Updated date. Questions about this Policy go to privacy@mylegalacademy.com.
